Policies


Alcohol
Alcohol is permitted with an approved plan for serving by a preferred bartender. White Pine Grove (WPG) will provide the Clients with names of preferred bartenders (Click on the Fabulous Local Venders tab for more more information). Alcohol consists of beer and wine with beer in cans and up to two signature drinks. Champagne toasts are allowed. Shots are not permitted. If WPG deems alcohol consumption to be excessive, destructive and is putting guests or the property in danger, WPG reserves the right to close down all alcohol service and/or to evict guests from the premises.

Artificial Flower Petals outside the barn are not permitted.

Cancellations
Cancellation amounts refunded depend on the amount of time the cancellation is made before the event:
1. Greater than 6 months prior to the event: 50% of payments made
2. Between 3 and 6 months prior to the event: 25% of payments made
3. Less than 3 month prior to the event: 0% of payments made

Children must be supervised at all times.

Cleanup
The responsibilities of the clients are to remove their personal belongings, place all trash in bags and placed in designated areas, assist with cleanup of any major mishaps, and to clean any borrowed chalk boards or windows owned by WPG which have been used for decorations. WPG takes care of cleaning the tables, floors, bathrooms etc. etc. If cleaning needs are excessive, the extra cost for cleaning that is required in excess of the usual cleanup needed after an event will be deducted from the security deposit. WPG supplies brooms, dust pans, mop, bucket, soap, cleaning rags, garbage bags, paper towels.

Event Insurance
We are back to requiring that weddings carry event insurance. This can be obtained sometimes at no cost as a part of your homeowners insurance. Other plans can be purchased through an insurance agent. Very easy and affordable options exist online:

Food
For very small events we allow clients to provide their own hot food. For all other events, a caterer is required. To help people with planning, there is a list of venders who have been here before and who have done an excellent job, but any caterer is allowed as long as they are insured. Clients are allowed to bring their own desserts and appetizers with a thorough and detailed approved plan for storing, serving and clean-up.

Hours
Wedding Rentals run from 9:30 am until 11:00pm, with the event ending at 10:00pm. For hours rented on the day before the wedding, the 2-day package runs from 12:00pm until 9:00pm. Hourly rental is available and is completely flexible on times.
Other events are based on hours rented and are arranged within one month of the event.

Music
Music must end by 10:00pm. A reasonable maximum volume must be maintained. WPG reserves the right to determine what is reasonable. Music Choices – If the CLIENTS choose to play music with explicit lyrics only clean version of these songs are permitted.

Payment Schedules
For Weddings:
For dates greater than one year out from the event date, a $500 deposit (which is applied toward the total balance) is required. At one year out, or at time of contract if less than one year, 50% of the total balance is due. Six months prior to the event, the remaining balance is due. Payment for outdoor ceremony seating and any optional items that are being rented (table and arbor décor, sound system) and a refundable $400 Security Deposit are due 2 weeks prior to the event.
For Showers, Parties and Other Events:
These depending on the time of booking before the event. In general a deposit is due at time of contract and the balance is due approximately one month before the event.
